Coach Track – Privacy Policy

1. Data We Collect

We may collect the following information:

• Personal identifiers: Name, email, phone number, age, ID, gender, blood type.
• Fitness data: Body measurements, session details, progress data.
• Payments: Subscription/billing info (processed by Stripe).
• Device and service data: Account identifiers, push notification tokens, usage events, and diagnostic logs.

2. How We Collect Data

• Directly from users, or from an organisation or trainer that creates and manages records for its members, when using the platform.
• Through integrations:
• Stripe (subscription payments)
• Firebase Authentication (sign-in and account authentication)
• Google Cloud infrastructure, including our PostgreSQL application database
• PostHog, Google Analytics, and similar analytics tools where enabled.

3. How We Use Data

We use your data for:

• Account creation and management.
• Processing subscriptions and payments.
• Analytics and service improvement.
• Customer support and communications.
• Marketing (only where legally permitted).

4. Data Sharing

• We do not sell or trade your personal data.
• Limited sharing:
• Stripe: billing/subscriptions.
• Firebase Authentication: sign-in and account authentication.
• Google Cloud: hosting and operation of our application database.
• PostHog and Google Analytics: usage analytics where enabled.

5. Data Storage & Security

• Coach Track application records are stored in our PostgreSQL database hosted on Google Cloud. Firebase Authentication is used for sign-in and account authentication.
• We use appropriate technical and organisational measures, including encrypted connections, to protect personal data.

6. Data Retention

• We retain records for as long as needed to provide the service, meet legal obligations, resolve disputes, and maintain the operational records of the relevant organisation.
• When a user deletes their account in the app, we delete their sign-in account and remove their access. Session, payment, trainer, client, and other organisation records may be retained by the relevant organisation where needed to manage its service or meet legal obligations.

7. User Rights (GDPR & CCPA)

As a user, you may:

• Request access to your personal data.
• Request correction or deletion of personal data, subject to legal obligations and the organisation's legitimate need to retain its operational records.
• Withdraw consent for certain processing.
• File complaints with a data protection authority in Switzerland or your country of residence.

8. Children’s Privacy

• The service is intended strictly for adults (18+).
• We do not knowingly collect data from minors.

9. Changes to Privacy Policy

We may update this Policy periodically. Significant changes will be communicated.
